5 Essential Tips for Outsourcing to Vietnam
Hey everyone,
I’m part of the team at Recruit VN (www.recruitvn.com), and we’ve been connecting a few businesses with some of the best Vietnamese remote talent, especially in customer service, chat and email support, and data entry(we’re looking to expand into other areas as well). We’ve seen many companies thrive by outsourcing to Vietnam, and I wanted to share some important things we’ve learned along the way to help you make the most of this opportunity.
1. Get Familiar with Vietnamese Labor Laws
Understanding local labor laws helps ensure a smooth collaboration.
- Minimum Wage: As of 2023, the minimum wage in Vietnam varies by region, ranging from about 3,250,000 VND to 4,680,000 VND per month (approximately $140 to $200 USD). However, for skilled roles like customer service and data entry, wages are generally higher to attract quality talent.
- Working Hours: The standard workweek is 48 hours, typically 8 hours a day, 6 days a week. Overtime is permitted but should be compensated according to the law. You'll also attract better talent if you opt for the traditional 40 hours. In addition , we can cater to all timezones but find the best talent with morning and day shifts while night shift still does attract great talent, the pool tends to be a bit smaller.
At Recruit VN, we help you navigate these regulations so you can offer fair and competitive packages that comply with local laws.
2. Embrace Cultural Differences
Building strong relationships with your Vietnamese team goes beyond contracts.
- Communication Style: Vietnamese culture values respect and harmony. Team members might be hesitant to voice concerns directly. Creating an open and trusting environment encourages honest feedback. We can act as the middleman and collect feedback on a weekly, monthly or ongoing basis and direct it to you.
- Holidays: The Tet Holiday (Lunar New Year) is a major event, and many people take off up to two weeks. Planning ahead for this period is crucial to maintain business continuity. (Huge deal for Vietnamese, but we can have agents at your service so workflow isn't disrupted).
By appreciating and adapting to these cultural nuances, you’ll foster a more engaged and productive team who has your back at all times.
3. Overcome Language Barriers
Effective communication is key to success.
- English Proficiency: While many Vietnamese professionals, especially the younger generation, have good English skills, proficiency levels can vary. We rigorously screen for language skills to ensure our candidates meet your requirements.
- Clear Instructions: Providing detailed guidelines and using visual aids can help prevent misunderstandings.
- Regular Communication: Schedule regular video calls and check-ins to stay connected and address any issues promptly.
We prioritize matching you with talent that not only has the right skills but also communicates effectively.
4. Set Up Robust Quality Control
Ensure your standards are met consistently.
- Define Expectations: Clearly outline your performance metrics, whether it's response times for customer service or accuracy rates for data entry.
- Use the Right Tools: Implement project management and communication tools like Trello, Slack, or Asana to monitor progress and collaborate efficiently.
- Provide Training: Invest time in training your team on your products, services, and company culture.
At Recruit VN, we support you in establishing these processes to maintain high-quality outcomes.
5. Protect Your Intellectual Property
Your business information and data should be secure.
- Legal Agreements: We include comprehensive NDAs and confidentiality clauses in our contracts to protect your IP.
- Data Security Practices: Ensure that your team is using secure networks and follows best practices for data protection.
- Consult Legal Experts: If needed, we can connect you with local legal professionals who specialize in IP law.
